How a plumber uses AI to chase unpaid quotes
Published October 20, 2026. Updated October 27, 2026.
A quote is not an unpaid invoice: the customer may not have agreed to the job. Here, we mean quotes nobody answered.
AI can help you draft a clear follow-up, but it cannot tell you why someone went quiet. Income is not guaranteed.
1. Check the last exchange
Separate customers waiting for clarification from customers who have not replied. Answer an outstanding question before sending a reminder.
Respect any decision date you agreed. If someone declined or asked you to stop, close the quote rather than chase them again.
2. Give AI only the facts it needs
Use placeholders for names. Describe the job, when you sent the quote, what the customer last said, and how you normally write.
Leave out addresses, contact details, confidential prices, and private customer documents. Check your obligations and the AI tool's data rules before sharing anything.
Ask for 1 short draft that identifies the quote and asks 1 clear question. Tell AI not to invent discounts, urgency, or availability.
3. Review a simple message shape
This is an example template, not a real customer exchange or a tested promise of replies. Replace every bracket before sending.
Hi [name], it's [you] from [business]. I sent the quote for [job] on [date]. Do you need anything clarified before deciding? If the timing has changed, or you've chosen another provider, please let me know.
Check the job and date against your records. If the quote has expired, say so plainly and offer a fresh quote only if appropriate.
Do not reserve a slot or promise a price adjustment unless you can honor it. Delete anything the draft added without evidence.
4. Choose whether to send
AI drafts; you choose the channel and timing. Use the channel you already use with this customer and respect their contact preferences.
There is no universal best weekday or follow-up interval. Start with 1 reviewed message, then consider the actual response before writing another.
If nobody replies, do not assume another message will win the job. Reassess whether the quote still belongs on your active list.
5. Keep your reviewed draft
Save the final message and any response beside the quote. An unanswered message is useful information too, not proof the customer forgot.
Record drafting time separately from jobs won. A shorter writing session does not establish additional income or measured weekly savings.
